The USAID-funded School-Based Sexuality and HIV Prevention Education Activity is a 5-year project that will support the South African Government’s Department of Basic Education to reduce HIV infections in students and teachers by assisting the Department of Basic Education to implement high quality, evidence-informed sexuality and HIV prevention education programs.
Title: Administrative and Finance Assistant
Summary: NOTE: This position is a locally based position, paid in South African Rands, with a local benefits package. This position is not eligible for relocation or posting allowances.
Education Development Center is seeking an Administrative Assistant to support the overall function of its office and activities. The Administrative Assistant will support the administrative functions of finance and other senior staff, by assisting with preparing documents, meeting coordination and scheduling, maintaining records and files, travel arrangements for staff and consultants as well as coordinating meeting details for their visits and other support services as necessary. The Administration Assistant will work closely with the Home Office Project Coordinator to provide administrative support to senior level staff, while supervising all office management duties.
The Administrative Assistant will effectively interact with a diverse staff, engage as a member of a team, accept feedback, troubleshoot questions or problems and seek help, supervision and support as needed. This position reports to the Director of Financial Management and Operations and is located in Pretoria South Africa.
Essential functions include [but are not limited to]:
Prepare documents, photocopies, catalogs, and electronic data;
Help maintain Database system;
Navigate internet for data and ability to track information;
Maintain records and files;
Create correspondence as needed;
Coordinate appointments and travel schedules; book travel;
Maintain office equipment and tracking;
Provide procurement support;
Provide general HR support;
Review material for accuracy and quality, propose format or presentation enhancements;
Plan, organize and independently carry out workload priorities to ensure smooth and timely coordination and production;
Apply organizational terms, procedures, systems, and policies;
Coordinate production of presentation materials, non-routine publications and brochures;
Handle routine financial transactions as necessary and assigned to carry out program activities and for the effective running of the office;
Other tasks as assigned.
Qualifications and Requirements:
National Senior Certificate/Matric, Vocational Training or equivalent with 4 – 6 years relevant experience, or
Bachelor’s degree or equivalent with 2 – 3 years relevant experience;
3-5 years administrative management experience with international projects in an office setting;
Successful experience working in a diverse, face-paced environment;
Excellent computer skills including Word, Powerpoint and Excel Microsoft Office programs, for example;
Knowledge of database software preferred;
Fluency in written and oral English required.
